Online Scheduler

Overview

Have your leads book their own appointments with ease by having this Add-On Feature enabled. With the Online Scheduler, your prospects can now view appointment availability in real-time and book the time slot that works best for their schedule. Reach out to our Support Team to have this feature enabled for your location. 

Configuring

Step 1

 Set your appointment availability in the Company Settings > General Settings, The Working Hours section will designate the Online Booking's available hours as well as exclude the days your club is closed. 

Step 2 

Make sure your logo and color are updated in the sign in-app settings.  You can upload your logo and locate your HTML color code by using the following website: https://html-color-codes.info/colors-from-image/

Step 3 

Enter your color code here (make sure you enter the # before the code)

Once this has been updated your logo and color will show up on the Booking Page

By default, we will automatically block out any timeslots that contain existing Booked Appointments, Non-Sales Appointments, and Personal Appointments. 

To  block out timeslots on your Calendar (for Team Meetings, Lunch, Personal Appointments  etc. ) Click on the start time of your Appointment and continue to hold your mouse while dragging the appointment to the finish time. Choose the "Personal" Appointment Type and then name the period.(see video below).  

Multiple Bookings Per Appointment Timeslot

If you prefer to have more than one appointment booked per appointment timeslot, GymSales has you covered!

Navigate to Company Settings > General Settings > Max number of bookings per timeslot

This feature will allow you to enter the number of appointments that can occupy a single slot (Max 10). Keep in mind that this will require you to book the same amount of appointments selected during a time slot to  block out appointment time.

How do I send the Booking Link to my clients? 

Booking Links can be sent to your leads either manually (Direct Message via creating message or template from the profile) or Automatically (Template via Automated Item)

Direct Message

Send an SMS or E-mail with the Booking Link from the lead's profile by using the Merge Field feature

Templates (to use in Automated Items or Direct Messages)

Navigate to Company Settings > Templates 

When created the Template use   Merge Field > Person > Booking Link to add booking links to your prewritten messages

What Your Leads See

Each lead  is issued  a unique Booking Link when the Email/SMS is sent. 

The link will then lead to the booking page which allows the leads to choose their own appointment time from the available timeslots before confirming.

How Can I tell how many Online Bookings My Sales Team Has

Navigate to the Reports tab > Salesperson Report and specify a date range to view how many leads each salesperson has listed as well as a company total.
