Sync a Lead's Marketing Preferences with ABC Ignite

Introduction

Effective April 22, 2025, ABC Ignite Sales/GymSales will automatically sync email and SMS marketing preferences (consent) when importing and exporting lead profiles from and to Ignite Membership and Operations (M&O)/DataTrak.

Note: Existing client records will not be impacted; only client records created on or after the release date (April 22, 2025) will be synced.

For example:

  • If a record exists that was created on 4/1/25 and then on or after 4/22/25 their marketing preferences change in M&O or their opt in status changes in Ignite Sales/GymSales, we will not sync those updates.
  • If a record exists that was created on 4/23/25 and on any date thereafter their marketing preferences change in M&O, their opt in status will change in Ignite Sales/GymSales--we will sync the updates.

Additionally, all sync payloads (for any update event, not just consent) now include consent values, but we will only update consent if the created_date of the record is on or after 4/22/25. Now a change to consent values also triggers the sync (where this did not happen previously).

Update Consent on Import or Export

Syncing between Sales/GymSales and M&O will occur as follows:

  • When importing profiles from M&O, the Sales/GymSales email_opted_out and sms_opted_out consent parameters will be set based on the values passed from the corresponding parameters in M&O.

Note: If the value from M&O is Unspecified, marketing preferences will be set based on the club's default settings (see Set Consent for Unspecified Preferences).

  • When exporting profiles from Sales/GymSales, the M&O "marketingPreferences"": {""email""} and "marketingPreferences"": {""sms""} consent fields will be set based on the values passed from the corresponding parameters in Sales/GymSales.

The Sales/GymSales Email and SMS consent fields and their corresponding M&O marketing preferences parameters are listed in the following table.

  Sales/GymSales Parameters M&O Parameters Description
Email email_opted_out = FALSE ""marketingPreferences"": {""email"": ""Yes""} Lead can receive email via GymSales.
email_opted_out = TRUE ""marketingPreferences"": {""email"": ""No""} Lead cannot receive email via GymSales.
SMS sms_opted_out = FALSE ""marketingPreferences"": {""sms"": ""Yes""} Lead can receive SMS via GymSales.
sms_opted_out = TRUE ""marketingPreferences"": {""sms"": ""No""} Lead cannot receive SMS via GymSales.

Set Consent for Unspecified Preferences

In a recent ABC Ignite Membership & Operations release, a new Unspecified status was introduced to indicate that the individual has not yet specified their marketing preferences (see Example 1: Unspecified Marketing Preferences in M&O).

If the marketing preferences in M&O indicate Unspecified, the default behavior for leads in Sales/GymSales will be to opt OUT the individual from both SMS & Email, unless and until the club updates their default settings in M&O (see Example 2: Receive Marketing Messages Club Setting).

Example 1: Unspecified Marketing Preferences in M&O

The Unspecified status will only appear until those options are changed. As long as the Marketing options are unchanged and display as Unspecified, their value is determined by the new Receive Marketing Messages club setting. The default value for this setting is No.

Example 2: Receive Marketing Messages Club Setting

An example of the Receive Marketing Messages club setting in M&O/DataTrak is shown below. By default, this option is set to No. To change the default value, select the gear icon in the upper right-hand corner and navigate to Settings > Club > club > Main > Defaults.

The following scenarios demonstrate the new Marketing option's behavior in M&O.

Scenario 1:

The Receive Marketing Messages option is set to No (default) and Marketing options display as Unspecified, so the member will not receive marketing messages.

>> When imported into Sales/GymSales, the individual is opted OUT of Email and SMS messages.

Scenario 2:

The Receive Marketing Messages option is set to  Yes and Marketing options display as Unspecified, so the member will receive all marketing messages.

>> When imported into Sales/GymSales, the individual is opted IN to Email and SMS messages.

Scenario 3:

The Receive Marketing Messages option is set to  Yes and Marketing options display as follows:

  • Receive Emails = Yes
  • Receive SMS = No
  • Receive Direct Mail = No
  • Receive Push Notifications = No

Since the marketing options are no longer Unspecified, the Receive Marketing Messages option does not apply. The member will receive emails but will not receive SMS, direct mail, or push notifications.

>> When imported into Sales/GymSales, the individual is opted IN to Email messages, but opted OUT of SMS messages.
